Project Workflow
Security installation projects follow a natural lifecycle. LogicSite supports this workflow with project phases that keep your team aligned on where things stand.
Project Phases
Every project in LogicSite moves through these phases:
- Design — Device placement, system architecture, floor plan annotations, and documentation
- Install — Physical installation of equipment at the site
- Closeout — Closeout walk, punch item resolution, and customer sign-off
- Substantial Completion — Work is substantially complete, final items being wrapped up
- Completed — Project is fully closed with frozen as-built documentation
The current phase controls which tools are available on the floor plan editor. During Design and Install, you can place and move devices. During Closeout, device placement is locked and punch items become available. Substantial Completion and Completed phases are fully locked.
Moving Between Phases
Phase progression is a mix of manual and automatic transitions — each step has its own trigger:

| Install → Closeout | Automatic — engages when the project manager starts a closeout walk. |
| Closeout → Substantial Completion | Automatic — set when both parties sign off on the walk. At this moment, the as-built is deep-copied and frozen and the warranty period starts. |
| Substantial Completion → Completed | Gated — requires all punch items accepted and the handoff package delivered to the site owner. |
Contractor-initiated and site-owner-initiated projects use the same five-phase model. On site-owner projects, the contractor (promoted to vendor_admin / project manager) drives phase transitions, while the site owner (client_approver role) participates in signoffs and approvals. Read-only stakeholders on the owner side use client_viewer.
The hasIssue flag is separate from phase — it can be toggled during Install or Closeout to surface a red Issue badge without changing the status. Flagging or clearing an issue notifies everyone on the project and is recorded on the activity log, so a blocker reaches the whole team instead of living in one person's head.
Assigning Phases
Each phase on the timeline can be assigned to a team member who owns that stage of the work. The Gantt view then groups phases into per-person lanes (with an unassigned lane for anything not yet owned), so it's clear at a glance who is responsible for design, rough-in, trim, and closeout.
Assign phases the way you'd assign tickets in a tracker — one owner per phase. The swimlane layout makes it obvious where work is concentrated and what still needs an owner.
Drag a phase to reschedule it, or drag a device row to set its install and target-completion dates. Device dates stay inside their parent phase's window, and finish-to-start dependencies shift dependents automatically so the schedule stays consistent.
Approval Workflows
LogicSite uses approvals in two places:
- Icon moves in restricted phases — when a device icon is moved during Install or Closeout, an
ApprovalRequestis created for the project manager to approve or reject (icon moves are free during Design). - Collaborator device completion — when a collaborator or external user marks a device complete, the device goes into
pending_approvalstatus until a PM approves or rejects it from the approval inbox.

Tracking Progress Across Projects
Your Projects page shows all active projects with their current phase, completion percentage, and team members. This gives project managers and company owners a bird's-eye view of where every job stands — which projects are in design, which are being installed, and which are ready for closeout.
