Vendor Collaboration
LogicSite connects site owners with their security contractors through vendor relationships. Once a vendor is linked to your site, you can request services, track their projects, and communicate through project activity feeds.
How Vendors Are Created
Vendor relationships are created in three ways:
- Handoff claim — When you claim an as-built package from a contractor, a vendor relationship is automatically created.
- Direct invite — Facility managers and coordinators can invite contractors directly from the Vendors page.
- Project invite — When you create a site-owner project and invite bidders,
POST /api/vendors/invite-to-projectauto-creates the vendor relationship at the org level as each contractor joins asvendor_viewer.
Inviting Vendors
Navigate to Vendors in the sidebar.
Click Invite Vendor (requires Facility Manager or Coordinator role).
Enter the contractor's email address and select the site they will service.
The contractor receives an invitation and can accept to establish the relationship.
Occupants can view the vendor list and request services, but cannot invite or remove vendors. This permission requires the site:manage_vendors capability.
Vendor Isolation
LogicSite enforces vendor isolation — vendors assigned to your site cannot see other vendors working on the same site. This protects competitive information between contractors.
- Each vendor only sees their own projects and floor plans
- Vendor-to-vendor communication is not possible through the platform
- Site owners see all vendors and can coordinate between them
Communicating with Vendors
Messaging happens through the project activity feed. When you click "Message" on a vendor row, you are taken to the projects page filtered by that vendor's site, where you can:
- Post comments on specific projects
- Attach photos and documents
- Track activity with timestamps
Comments support visibility layers — mark a comment as "Internal" to keep it visible only to your team, or "Client Visible" to share it with the vendor.
Sharing Design Files
Design Shares let you send a floor plan to an external contractor for review or change-order proposals — without adding them as a full project member. From the floor plan details drawer:
Requesting Services
All site roles can submit service requests:
Click Request Service on a vendor row, or navigate to Service Requests in the sidebar.
Describe the work needed and attach any relevant photos or documents.
The vendor receives a notification and can respond with a quote or schedule.
Removing Vendors
Facility managers and coordinators can remove a vendor relationship:
- Open the vendor's context menu (three-dot icon)
- Select Remove Vendor
- Confirm the removal
Removing a vendor does not delete their completed projects or floor plans. Historical data is preserved for compliance and audit purposes.
