Site Owner Overview
Site owners (facilities managers, property teams, building owners) get a dedicated workspace in LogicSite for managing their security infrastructure across all properties.
Your Portfolio Dashboard
When you sign in as a site owner, you land on the Portfolio at /portfolio. This is your home base with:
- KPI metrics — device counts, active/total ratios, and status breakdowns. Click any status breakdown to open the Device Status Drawer — a site-grouped drill-down list with click-to-navigate-and-pan to individual devices on the floor plan.
- Charts — device distribution donut, trend lines, and status timeline.
- Sites grid — all your properties as cards with structure, device, and floor plan counts, plus active device percentage bars.
- File tree sidebar — Figma-style navigation showing sites, folders, and structures. Drag to reorder; structures can be moved between folders or across sites, with full activity-log migration.
- Pulse feed — cross-project activity stream across all your sites, with time-sectioned display (Today / Yesterday / This Week / Earlier), filter chips, and PDF export.
Contractors use /dashboard. Site owners use /portfolio. LogicSite automatically routes you to the correct workspace based on your team type.
Site Roles
Every user in the portfolio workspace has a site role that determines what they can see and do. LogicSite provides three site roles:

| Coordinator | Operational access — manage vendors, view projects, submit requests, but cannot modify site structure | Operations lead, security coordinator |
| Occupant | View-only — see sites, submit service requests, and comment on projects | Building occupant, tenant |
Organization owners and admins automatically receive Facility Manager permissions across all sites, even without an explicit site access record.
What Each Role Can Do
Manage Sites & Properties
Facility managers can create, edit, and delete sites and structures. Coordinators and occupants can browse the file tree and view floor plans, but cannot modify site structure.
Each site can contain:
- Structures — buildings, wings, parking garages, outdoor areas
- Folders — organize floor plans into logical groups
- Floor Plans — PDF documents showing device placements
Click the + button in the file tree header to create a new site (Facility Manager only).
Name your site after the physical location (e.g., "Main Campus", "Building A").
Add structures and folders using the + menu on each site node.
Review Floor Plans
Floor plans you receive from contractors (via handoff) appear as As-Built documents in the structure's version history. All roles can:
- View device placements and coverage areas (toggle the Coverage layer)
- See device details, photos, and comments by clicking on icons
- Navigate multi-page floor plans
- See the full version tree — named milestones (change orders, as-builts) surface prominently
Facility Managers can fork an as-built to create an editable copy, unlock working versions with the Shield icon (Site Lock mode), and share design files to external collaborators via Design Shares — claim-code invitations for up to 20 recipients per request (business emails only, 30-day expiry).
Manage Operational Status
After closeout, you own the operational status of every device — active, inactive, maintenance, or issue. The structure detail page exposes each device's operational status in the Grid tab; updates cascade into the KPI counts and the Device Status Drawer.
Track Vendors
The Vendors page shows all contractors who work on your sites. Facility managers and coordinators can invite new vendors and manage relationships. Occupants can view the vendor list but cannot invite or remove vendors.
Approve Project Work
When contractors submit work for approval, Facility Managers see an Approval Inbox on the project overview. Approvals include design reviews, change orders, and closeout sign-offs.
Submit Service Requests
All roles can submit Service Requests for maintenance or new installations using a guided wizard. Select a vendor, describe the work, pick the affected devices, and submit. Your contractor receives the request and can accept it (which creates a work order) or reject it with a reason.
Receiving Handoffs
When a contractor completes a project and hands off the as-built floor plans:
- You receive an email with a claim code
- Click the link or enter the code at sign-in
- The floor plans appear in your portfolio under the appropriate site
- A vendor relationship is automatically created with the contractor
Closeout & Sign-off
For site-owner projects, Facility Managers participate in the closeout walk as the customer party:
- The contractor (Project Manager) initiates the walk
- Both parties verify devices on-site and flag punch items
- The Facility Manager signs off on behalf of the site owner
- LogicSite generates a frozen as-built document
Coordinators and occupants can view closeout progress but cannot initiate walks or sign off. Only Facility Managers have closeout sign-off permission.
