Work Orders
Work orders are the contractor's tool for managing accepted service requests. When a contractor accepts a service request from a site owner, LogicSite automatically creates a work order with a unique tracking number, device line items, and a structured status workflow.
How Work Orders Are Created
Work orders are created automatically when a contractor accepts a service request. You cannot create a work order manually — they always originate from a service request.
When created, the work order receives:
- A unique work order number (format: WO-YY-NNNN, e.g., WO-26-0001)
- Title, description, and priority copied from the service request
- A line item for each device associated with the original request
- An optional technician assignment and scheduled date (if provided during acceptance)
Work Order Statuses
Work orders follow a structured status workflow:

| Dispatched | Assigned to a technician with a scheduled date |
| In Progress | Technician is actively working on the devices |
| On Hold | Work temporarily paused (can resume to Dispatched or In Progress) |
| Completed | All work is finished |
| Closed | Site owner confirms and closes the work order |
Assigning a technician to a New work order automatically transitions it to Dispatched. This saves a manual status change when dispatching work.
Managing Work Orders
Viewing Work Orders
Navigate to Work Orders in the contractor sidebar. The list view shows all work orders with:
- Status tabs: All, Active (new + dispatched + in progress), On Hold, Completed
- Work order number, title, assigned technician, priority, and scheduled date
- Site and customer information
- Device count for each work order
- Search and filter capabilities
Assigning a Technician
Open a work order detail page.
Use the assignment dropdown to select a team member.
Optionally set a scheduled date for the visit.
The assigned technician receives a notification. If the work order was in New status, it automatically moves to Dispatched.
Updating Status
From the work order detail page, valid status transitions are shown as action buttons. The workflow enforces these transitions:
- New → Dispatched → In Progress → Completed → Closed
- Dispatched or In Progress → On Hold (and back)
Contractors handle most status transitions (New through Completed). The Closed status is set by the site owner to confirm work acceptance.
Line Items
Each work order contains line items — one for each device from the original service request. Line items track:
- Device name and type — Which piece of equipment needs attention
- Status — Pending, In Progress, Completed, or Skipped
- Issue description — Copied from the service request's per-device notes
- Resolution notes — Technician's notes on what was done
- Photos — Before/after documentation
Update line item statuses as work progresses on each device. When a work order is completed, all line items with Completed status automatically sync the associated device's operational status to Active.
Promoting to a Project
If a work order reveals that the scope of work is larger than a simple service call, you can promote it to a full project:
Open the work order detail page.
Click the Promote to Project action.
LogicSite creates a new project named "Service: {Work Order Title}" with the customer and site pre-filled.
The work order records the promotion and links to the new project. This is useful when a repair turns into a full installation or upgrade.
A work order can only be promoted once. Already-promoted and closed work orders cannot be promoted.
